Client Relations Assistant

StateScape, an entrepreneurial research firm on the cutting edge of delivering customized online legislative and regulatory information, is conducting a nation-wide search to hire a full-time remote Client Relations Assistant.

This position is responsible for assisting the Vice President in maintaining client and prospect relations and is also responsible for performing daily administrative tasks. The Client Relations Assistant serves as a point of contact for StateScape prospects and the primary contact for StateScape clients. The ideal candidate is adept at clear communication, has a knack for understanding organizational systems, and enjoys focusing on details. Demonstrated experience in managing the communications, filing, and/or quality control for a business is plus as is previous experience in a personal assistance or office manager role. Education or experience equivalent to an associate’s degree in a business-related field is preferred

Specific duties of this position include:

  • Communicate with clients regularly at the direction of the Vice President, ensuring questions or concerns are addressed promptly and accurately as they arise.
  • Train all new and existing clients on features of the online service, with an eye toward managing client expectations while maximizing client satisfaction and company profit.
  • Build relationships with clients, providing guidance for how to best meet the clients’ needs and budgets.
  • Assist the Vice President by performing daily database data entry, filing, completing special projects, and performing routine client-related tasks to maximize client satisfaction.
  • Maintain active client and prospect records in database; complete client account setup tasks in the database.
  • Manage client renewal communications and prepare renewal contracts.
  • Running reports in Microsoft Access and Excel for company leadership review.
  • Monitor and maintain client relations and prospective client email inboxes.
  • Write proposals and contracts for prospective clients.
  • Perform prospecting via electronic means at the direction of the Vice President.
  • Manage the StateScape social media accounts and company correspondence.
  • Answer company telephone and route calls appropriately.
  • Maintain purchase records, receipts, and billing information; perform tasks to ensure the appropriate use of funds.
  • Perform general staff support including planning and executing company social events, purchasing staff gifts, and administrative support for hiring.

The Client Relations Assistant position is full-time, with pay between $47-$53k a year commensurate with experience. Additional benefits include subsidized health care, Simple IRA employer contributions, paid holiday/leave, flexible schedule options, and a fully remote company.
